The B2B SMS Prospecting Framework: From Cold Contact to Booked Meeting

Most B2B SMS outreach fails not because SMS is a bad channel — but because it is approached like a broadcast medium rather than a conversation starter. This framework walks through every stage from identifying the right prospects to booking the meeting.

Stage 1: Audience Definition (Before You Write a Word)

Stage 2: Message Crafting

Your message has one job: generate a reply. Not a click, not a form fill — a reply. The highest-converting structure is:

  3. Single open question — not a pitch, a genuine question

Stage 3: Launch and Monitor

Launch your test campaign and monitor the inbox in real time. Replies will come in within minutes for well-targeted campaigns. The first 2 hours after sending are the highest-activity window — have someone on the inbox to respond immediately.

Stage 4: Reply Handling

Every reply falls into one of three buckets: Interested (book the meeting immediately), Needs More Info (answer the question and move toward a meeting), or Not Now (ask for a better time and set a follow-up). Respond to all three. Even “not now” replies are warm leads 30-60 days out.

Stage 5: Scale What Works

After 3 campaigns, review what message variants drove the highest reply rates, which industries responded best, and what times performed. Double down on what works. Most teams find a consistent 20-30% reply rate within 5 campaigns.
